Run a US company from abroad without missing the important work

If the company already exists, build a reliable operating system around money, records and deadlines. Confirm the bank and processor still match the business, keep bookkeeping current, understand the federal and state filing calendar, and document every payment between the company and its owners.

Company health check

Verify the company, agent and records are current

Check the public state record, registered-agent details, principal address, ownership file and EIN notice. Fix mismatches before a bank, marketplace or tax filing exposes them during verification.

  • Download the current state status record and latest accepted report.
  • Confirm the registered agent and mailing route still work.
  • Keep formation, EIN, operating agreement and owner records in one archive.

Money movement

Stabilize banking, payments and owner transfers

Keep a primary account and an independent backup where possible. Reconcile processor payouts to invoices and bank deposits, and classify every owner transfer as capital, reimbursement, draw, distribution, payroll or loan based on the entity's tax treatment.

  • Never mix personal spending with the business account.
  • Download statements before changing or closing a provider.
  • Keep identity, address, website and business descriptions consistent across platforms.

Keep records that can survive tax filing and KYC review

Monthly bookkeeping is the bridge between bank activity, tax returns and ownership records. Preserve invoices, receipts, contracts, exchange rates and evidence for transactions between the company and related foreign owners.

  • Reconcile every bank and processor account monthly.
  • Separate revenue, refunds, fees, owner transactions and business expenses.
  • Keep source documents and an explanation for unusual transfers.

Deadlines

Run one federal, state and local filing calendar

Federal tax, state annual-report, franchise-tax, sales-tax, payroll and local-license deadlines can all exist independently. A state record marked active does not prove the federal or revenue accounts are current.

  • Add every recurring filing and payment deadline to one calendar.
  • Assign an owner and evidence requirement to each obligation.
  • Review the calendar after any address, owner, employee or sales-channel change.

Quarterly review

Decide whether to maintain, change or close the structure

Review whether the company still supports the customers, payment routes and growth plan that justified it. If it no longer does, compare a clean change or dissolution against another year of fees and filings.

  • Review revenue, recurring cost and provider eligibility every quarter.
  • Update the state, IRS, bank and licenses after material changes.
  • Dissolve deliberately rather than abandoning an unused company.
